Description

GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES

    The Administrative Assistant provides administrative support in all functions of the Bail Appeal Project at the Jail, a sub-section of Inmate Legal Services. Primary duties include
scheduling bail appeal candidates, organizing bail-related paperwork, retrieving complete Board of Probation records from CJIS system and communicating with courts for necessary
paperwork and preparing packages for bail appeal hearings. Further duties include recording video BAP dispositions on computer system, updating and maintaining detainee files and assisting with
updates of daily status files and other related matters, performing special projects assigned by ILS Director. 

 

SUPERVISION RECEIVED

          Works under the direct supervision of the Director of Inmate Legal Services at the Nashua Street Jail, or designee.                         

DUTIES AND RESPONSIBILITIES

  • Monitor and retrieve calls from Bail Appeal Line from outside attorneys regarding the scheduling of clients for daily bail appeals before the Suffolk Superior Court. Confirm schedules; communicate with the courts and attorneys when necessary for paperwork and issues regarding video bail candidates. 
  • Coordinate with Transportation Department at the Jail, in advance for pick-up of any video bail appeal candidates from off-site facilities; reconcile bail-related issues with our Records Department. 
  • Generate Bail Appeals lists for daily distribution to the Records Department, Shift Commander, Central Control and Visiting Desk. Fax lists to Superior Court Clerk's office, DA's Office, Gang Unit and the Grand Jury.
  • Run current Board of Probation reports, including out-of-state records, outstanding warrants and detainers, where necessary, for each bill appeal candidate on a daily basis and for candidates selected for emergency capacity sessions, as needed by ILS Director.
  • Prepare petitions, copy and organize bail appeal packages for bail review hearings on a daily basis; deliver packages to transportation Department at the Jail in a timely fashion for delivery to the Superior Court. 
  • Record dispositions of bail appeals on word-processing applications and OMS.
  • Maintain filing system; file all intake and pull releases on a daily basis; purge and shred files periodically. 
  • Compose and type a variety of correspondence, forms and reports.
  • Provide administrative coverage of video bail appeal hearings, upon requests of ILS Director.
  • Perform other related duties assigned by Director of Inmate Legal Services, including but not limited to making copies of legal documents, processing requests for boxes from detainees and delivering boxes to units. 

QUALIFICATIONS

  • Criminal Justice courses; experience and/or knowledge of the criminal justice system or a correction setting, preferable. 
  • CJIS certification.
  • Ability to meet daily deadlines and work well under pressure; team oriented. 
  • Familiarity with Board Of Probation reports and ability to read and interpret reports. 
  • Ability to communicate effectively with courts.
  • Ability to perform confidential assignments.
  • Proficiency with word-processing, spreadsheet and data management applications. 
  • Knowledge of Sheriff's Department policies, procedures and office operations. 

ADDITIONAL FUNCTIONS OF POSITION

            Participation in mandatory training.
